What information we collect

We collect different types of information depending on how you interact with us.

Information you give us directly

•    Name, email address, phone number, and any message content when you fill in the contact form on our website.

•    Email address when you sign up for our newsletter (“Inside”).

•    Name, contact details, emergency contact, and date of birth when you become a member.

•    Health and medical information you share with us so we can coach you safely (for example, injuries, medical conditions, medications). This is treated as special category data and held with additional care.

•    Payment information — processed through our third-party payment provider; we do not store full card details.

•    Any other information you choose to share with us in conversations, emails, or coaching sessions.

Information we collect automatically

•    Website usage information — pages visited, time spent, device type, browser. Collected through Squarespace’s built-in analytics.

Information collected with your separate consent

•    Photographs of you taken during sessions at Livin, where you have signed our separate photography release form. The release form sets out how the photographs may be used. You may withdraw consent at any time, as set out in that form.

How we use your information

We use the information we collect for the following purposes:

•    To respond to enquiries you send through the contact form.

•    To send you the weekly Inside note if you have subscribed.

•    To deliver the coaching services you have signed up for, including planning, programming, and check-ins.

•    To keep you safe during sessions (using health information you have shared).

•    To process payments for membership and services.

•    To send you administrative messages about your membership.

•    To use photographs in our website, print, and social media, where you have given consent.

•    To improve our services through anonymous usage analytics.

Service providers we use

  • Squarespace — our website host. Holds website data, contact form submissions, and newsletter signups.

  • Stripe — for handling membership payments.

  • Gmail — for sending the Inside note and other emails e.g. Mailchimp.

  • TeamUp — booking systems, member apps, etc.

Each of these providers is required to handle your data in line with UK data protection law and only for the purposes we have agreed.

Where required by law

We may share information with HMRC, the police, or other regulatory authorities where we are legally required to do so.

How long we keep your information

We keep your information only for as long as we need it:

  • Contact form enquiries — 12 months from receipt, unless they lead to a membership.

  • Newsletter signups — until you unsubscribe.

  • Member records — for the duration of your membership and for seven years afterwards, in line with UK accounting and insurance requirements.

  • Photographs — in line with the terms of the photography release form you signed.

  • Website analytics — anonymous data is kept for up to 26 months.

Where your information is stored

Most of our service providers store data within the UK or European Economic Area (EEA). Some, including Squarespace, may store data in the United States. Where data is transferred outside the UK, we ensure appropriate safeguards are in place — either through adequacy decisions or standard contractual clauses.

Under UK GDPR you have a number of rights regarding your personal data:
